How to embed fonts in PowerPoint

Yes send your PowerPoint presentation to someone, but you do not have the fonts used installed, the format and layout may be damaged. You can prevent this by incorporating fonts into your presentation. This is how it works on Windows and Mac.

Enter fonts in PowerPoint for Windows

In order to embed fonts used in your PowerPoint presentation, open that file and select the «File» tab.

At the bottom of the left panel, select «Options.»

The «PowerPoint Options» window will appear. Here, select «Save» from the left pane.

Then find the «Keep fidelity when sharing this presentation» section at the bottom of the window and check the box next to «Embed fonts in file.» Next, you’ll need to decide between these two embedding options:

  • Enter only the characters used in the presentation (most suitable for reduce the file size).
  • Incorporate all characters (great for editing by others).

Select «OK» when you’re done. Fonts will now be incorporated into your presentation.

Embed fonts in PowerPoint 2019 / Office 365 for Mac

Until early 2020, Microsoft Office did not offer the feature to embed fonts in PowerPoint for Mac. Now you can, as long as you are an Office 365 subscriber or use PowerPoint 2019 v16.17 or later.

To embed fonts, open the PowerPoint presentation, click the «PowerPoint» menu option, and select «Preferences.»

In the window that appears, select «Save» in the «Exit and share» group.

Now the steps are similar to PowerPoint for Windows. In the «Embed fonts» group, check the box next to «Embed fonts in the file.» Decide between these two options:

  • Enter only the characters used in the presentation (most suitable for reduce the file size).
  • Incorporate all characters (great for editing by others).

Mac font embedding options

This is all. Fonts will now be incorporated into your presentation.
